Transmittal Management with SAP DMS
Big projects, stratetic plannings, and construction sites need a regulated and traceable exchange of information and documents. Transmittals are an acknowledged method for control of this information flow.
SAP DMS is an integrated document management system and well-suited for the management of status-oriented and version-controlled documents.
With SAP standards and DMS addons from SEAL Systems Transmittals can be quickly and reliably created, edited, sent, and administrated. For later trace back and evaluation of deadlines or as a confirmation, which documents were sent to which recipients all relevant shipping data are stored in the SAP system
Documents
The list of documents to be sent can be arranged in different ways:
- Standard SAP DMS funktions (CV04N)
- SAP EasyDMS – interactive compilation of document lists
- Standard collection transactions from SEAL Systems
Recipient
Partner, customers, suppliers can be defined as recipients. They can be created individually or taken over from SAP. Groups of recipients can be combined and set to recipient pool lists
Generation
The Transmittal document is created automatically by using header information, recipient data, maturity data, remarks, and document lists. An SAP DMS information set is generated automatically, to which this document is related. The Transmittal documents are associated by using SAP object relations or as a new bill of material.
Sending
The transport of the Transmittals to the recipient can be done in various ways
- Print and manual postage
- eMail transmission with automatic split of large attachment sizes
- SAP cFolders or SEAL Web Portal
- CD/DVD generation
Receive
If the transmittal document gets utilizable information at the return run, then an automated re-checkin into SAP DMS is possible.
Control
With SAP DMS and the additional transactions from SEAL Systems there is an extensive data base available for all control and evaluation functions.
The according evaluation functions can quickly generated as job-specific reports with standardized SAP methods.

Standard components of SAP and addOns like EasyDMS and cFolders provide ease of use and operation reliability.
With the products and standards from SEAL Systems the single steps can be automized and a Transmittal is generated and sent with only some single user operations. All document data and transaction information are stored: conflict cases, revisions, and project milestones are documented for later tracing.
